Position Summary
The Accounting Coordinator supports the day-to-day accounting operations of Mostly Mutts Animal Rescue. This position is responsible for maintaining accurate financial records, completing reconciliations, supporting the month-end close process, and preparing documentation and reports that ensure the organization's financial information is complete, accurate, and timely.
This is a hands-on position in a collaborative accounting department. Responsibilities are divided across the accounting team based on organizational needs and employee strengths, with all Accounting Coordinators cross-trained to provide backup support across multiple accounting functions.
Key Responsibilities
Financial Processing
- Maintain the accounting records for designated revenue sources, payment platforms, bank accounts, and other accounting functions.
- Record financial transactions accurately and timely in QuickBooks.
- Verify deposits and supporting documentation.
- Maintain vendor records and supporting documentation.
- Support payroll-related accounting activities.
- Maintain complete and organized accounting records.
Account Ownership
- Maintain responsibility for designated bank, credit card, investment, and balance sheet accounts.
- Complete reconciliations and supporting schedules.
- Research discrepancies and resolve outstanding items.
- Ensure accounts are complete, accurate, and properly supported.
Month-End Close
- Complete month-end close responsibilities.
- Prepare journal entries and supporting schedules.
- Prepare documentation supporting areas of responsibility.
- Verify accounts are ready for financial statement preparation.
- Meet established month-end deadlines.
Financial Reporting, Audit & Compliance
- Prepare reports and schedules for management, auditors, and regulatory reporting.
- Prepare documentation supporting annual audits and other financial reviews.
- Support sales tax, grant, and restricted fund reporting.
- Maintain documentation supporting compliance with organizational policies and regulatory requirements.
Team Support & Continuous Improvement
- Cross-train in multiple accounting functions and provide backup support for teammates.
- Follow established accounting procedures and internal controls.
- Identify discrepancies, process improvements, and opportunities to increase efficiency.
- Assist with implementing new procedures and systems.
- Perform other accounting and administrative duties as assigned.
Knowledge, Skills & Abilities
- Previous bookkeeping, accounting, office administration, or other experience involving financial records, data entry, reconciliations, or detailed administrative work preferred.
- Nonprofit accounting experience is a plus.
- Experience with QuickBooks or similar accounting software preferred.
- Proficiency with Microsoft Excel and Microsoft Office.
- Strong organizational skills and attention to detail.
- Strong problem-solving skills.
- Ability to manage competing priorities, interruptions, and changing demands while meeting deadlines.
- Dependable with strong follow-through.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively with staff, volunteers, and other departments.
- Comfortable learning new software, systems, and processes.
- Comfortable working around dogs and cats.
- Ability to maintain professionalism and confidentiality.
Physical Requirements
Ability to sit and work at a computer for extended periods.
